4 - 6 months:  Arrange venue, announce workshop, start marketing
3 months:  Set tentative agenda
2 months:  Check signups, determine viability
6 weeks:  Send organization letter to attendees--solicit help with wiki planning
3 weeks:  Semi-final organizing of agenda
2 weeks:  Send reminder/welcome email to attendees

Venue Requirements

In order to keep the costs for the Classroom 2.0 LIVE workshops as low as possible, and allow them to be free for educators, we need help in getting venues for the workshops that are free or inexpensive.  Here are some of the requirement for the venue:


:Main Room.  The main room should be able to hold the whole group.
Breakout Rooms.  The breakout rooms  should be able to accommodate more than half the full group (if two breakout rooms), as breakout sessions aren't always even.Seating:  should be flexible or around tables.  Auditorium or classroom seating doesn't allow for collaboration or moving around.
Power.   We'll need electrical plugs spread around the room (lots of laptops), or extension cords and power strips.
Internet.  There should be good wifi access, with the capability for every participant to connect and be active on the Internet.  Good bandwidth is essential.  Networks that filter access can be problematic if they block social media sites.
Parking.  Needs to be adequate.
Accessibility.  It helps a great deal to have a location that is central to where educators work or live in order to maximize attendance.
Food.  It's nice to have fast-food available nearby for participants for their lunch.  Sometimes a local sponsor will want to provide some food service.  Venues that require catering services or don't allow the bringing in of food can be problematic.
